Amazon Orders

Step 1: Complete a One-Time Purchase Request Form

To ensure compliance with Approval Documentation Required for All BearBUY Carts, Amazon orders need to have attached Purchase Request with approval signatures PRIOR to placing an order in BearBUY. 

• Attach a One-Time Purchase Request Form

• When you attach a one-time payment request to a BearBUY cart, you DO NOT need to assign a cart, as approval is included in the admin form.

Reminder: Each approval must include a clear business purpose, funding source, and supervisor’s approval explaining how the expense supports university activities, including:

• Event or workshop name

• Goal or intended outcome

• Connection to the program’s mission or operations

• Who, What, Where, When, and Why of the expense

Step 2: Begin your Amazon Order using the BearBUY Punchout

Follow our step-by-step instructions, with screenshots and tips, on how to order from Amazon. 

• Placing Amazon Orders in BearBUY

Reminders:

• Begin by shopping on Amazon and add items to your cart
•  Once finished shopping, proceed to checkout and click "submit order for approval" to be redirected back to BearBUY
• NOTE: Submitting order for approval will not place your Amazon order. You MUST finish your order in BearBUY

Step 3: Complete and Submit your order through BearBUY

Complete your Amazon order by submitting your request in BearBUY.

Reminders:

• Create a cart name and fill out missing details
  • Org Node: ZCEEE
  • Shipping Location: Amazon Hub Lockers (most common)
  • Chartstring Details: Account code, Fund code, Department ID, Function code (68)
• IMPORTANT: click on "Add Internal Attachment" to upload the approved One-Time Purchase Request Form.
• Once your cart is submitted, take note of the Requisition number to locate your cart as your request is processed.
