Position Managment

CE3 Admin team can create new position numbers and/or update position information for vacant unfilled positions including information such as: supervisor, FTE, work location. If position information needs to be updated for filled positions, a CSS HR Ticket must be submitted.

Role Actions Timelines
Hiring Manager
  • Review Position Roster for their unit to identify vacant position numbers for new appointments

  • Go to the SES Position Control Spreadsheet. Here is where you will input all requests for updating Vacant Position Numbers or creating new Position Number.
    • To reuse a vacant position number, all existing position data must match the new appointment (ie: FTE, Supervisor, Funding, Title Code, Location, etc.)

    • To update vacant position number(s), the Hiring Manager should log their request on the second tab of the SES Student Hiring spreadsheet 

  • If there are no vacant position numbers available within the unit’s roster, then request new position numbers on the second tab of the SES Student Hiring spreadsheet.

  • Follow up with confirmation once position number(s) have been updated or created and are ready to be used

  • Complete the rest of the hiring process (i.e Work-Study Referrals (if applicable), Approvals, and Appointments to Smartsheets)
