Setting up a Fleet Code
Departments may request a Vehicle Rental Code for their unit to reserve vehicles via Enterprise. The Vehicle Rental code acts as a payment, and is tied to a specific chartstring controlled by your department.
Processing Steps
- To order a Vehicle Rental code, email to Fleet Services- fleet@berkeley.edu
- There are two required roles involved in acquiring a departmental fleet code, both must be different people, and are required to sign the form:
- Code Custodian: Responsible for keeping the fleet code safe and secure, must ensure that the rental code is only used for official university business, may reserve vehicles on behalf of a renter in your unit, must ensure that the rental code is never used to rent a 15-passenger van, must inform Fleet Services of any changes. Additional Code Users may be added.
- Account Custodian: Reviews monthly Property Management Statements and reconciles charges for vehicle rental activity, informs Fleet Services of account changes.
- There are two required roles involved in acquiring a departmental fleet code, both must be different people, and are required to sign the form:
- Once Fleet Services have received both portions, a Vehicle Rental Code will be provided. Once your fleet code is provided, be sure to save it and note it on both portions of your form.
- Note: There is a one-time $40 charge to issue a Vehicle Rental Code, plus a recurring administrative fee of $6 per month until the code is canceled. Rates are subject to change.
Renting a Car Using a Vehicle Rental Fleet Code:
For university travel that involves a rental car, units may use existing fleet codes in their unit (if available) to reserve a rental car at Enterprise locations.
